8/19/2018 - Called Congregational Meeting - 1:30pm

Location: Providence Presbyterian Church Fellowship Hall

Purpose: Meeting was called by the Session for the purpose of communicating a Shepherding plan and to request nominations for officers.

Quorum: 22 members present, representing a quorum.


TE David Hina called the meeting to order and opened in prayer.

TE David Hina called for a nomination for a clerk of the congregational meeting.

Carol Sutton nominated RE Wil Meiners; second by Rich Carver; all were in favor.

TE David Hina gave an explanation of the officer nomination process, including a summary from the BCO and the steps involved in the process. He also communicated the plan to ask for nominations throughout the month of September. The congregation was specifically asked to pray for the Lord's provision of 3 deacons over the next year.

TE David Hina began an explanation of the results of the 2018 Officer's Retreat, which was two-fold:

  1. Shepherding Focus
    1. TE David Hina offered a Biblical basis for shepherding from 1 Peter 5:1-3.
    2. TE David Hina shared the conviction of the elders of the calling to shepherd God's flock and that we are falling short in this area.
    3. TE David Hina provided the biblical foundation for shepherding, from Psalm 23, Acts 20:17-28.
    4. TE David Hina expressed the four aspects of shepherding: knowing, feeding, leading, and protecting the flock.
    5. TE David Hina told the congregation what to expect: the development of a shepherding plan, elder care for each family in the congregation, regular contacts, prayer, and a sermon series on shepherding.
  2. Ministry Focus
    1. TE David Hina outlined the current structure of ministry teams.
    2. TE David Hina explained the conflict that can emerge between our Biblical need for: members exercising Spirit-given gifts and elders accountable to God for Providence life & ministry, all in the context of our unique situation and oriented toward accomplishing our mission.
    3. TE David Hina shared a belief that we need to improve this by: respecting God's gifting, ensuring member contributions, and seeking leadership development.
    4. TE David Hina told the congregation what to expect: non-elder ministry team chairpersons, delegated decision-making, the development of team guidelines, flexibility in team meetings, elder oversight to provide accountability, quarterly meetings with chairpersons, a reshaping of the ministry teams, and a sermon series on Spiritual Gifts as we continue our study in 1 Corinthians.

TE David Hina asked who would like a printed copy of the church directory, which is currently online; copies will be provided next week for those who need it.

Bill Oakley asked a question about reducing the time period between nomination of officers and elections which was addressed by TE David Hina.

Jerry Jenkins raised a question regarding terms for office; these are not currently in place at Providence.

Steve Yount made a motion to adjourn; second by Carol Sutton; all were in favor.
