Providence Maintenance List

The following table contains a list of all maintenance items which are considered needing attention. The list contains items requiring repair/replacement, as well as facility & grounds improvements. For each item, deacons will assign a priority, give the date created, the responsible individual for the item, and any notes. If no responsible individual is noted, the item is “unassigned,” and therefore not in process. Assignments will be made (and priority reviewed) at monthly Deacon meetings. Assign priorities based upon categories from the chart to the right, as follows: HIGH (#1) - those affecting safety or needing immediate attention; MEDIUM (#2 / 3) - those of more importance, but no need for immediate attention; LOW (#4) - items being tracked, but not assigned for completion. Once an item is completed, it can be moved to the “COMPLETED” list. For any items not involving maintenance work (simply a purchase), use the Providence Purchase List.

PROCESS:

  1. Enter Request: from various sources (e.g. ministry teams, deacons, elders, individuals, etc.) and include justification under “Notes” (unless obvious).

  2. Planning: Assignments take place at deacon meetings. For higher cost items, the assignee will research and enter cost, resources, etc.

  3. Approval: For higher cost items, the session should be notified for approval. In either case, deacons will evaluate against the budget.

  4. Track: Deacons update item using notes column. When completed, move item to “COMPLETED” list, strike through, and add “Completed <date>”.

Improve reliability of video streaming

Background: The video stream has been very unreliable over the past couple of months. We believe the primary problem we were having has been fixed (loose HDMI adapter connection). The next step is to move from Wifi to ethernet cable direct to the router. Another step will be to evaluate & purchase an improved encoder box that will provide for a backup connection. We will also evaluate shifting streaming from YouTube to Sermon Audio.
1/8/24 Update: Lee ran an ethernet cable direct to the router. Still need to purchase a small ethernet hub. He also purchased another hardware encoder for doing the streaming (ATEM Mini Pro) and is in the process of testing it.

Update audio system in sanctuary

Background: Lee will be evaluating improvements to our audio system. First priority is to eliminate the background “hiss” we are currently experiencing, and more generally to improve the audio signal. Second priority is to provide additional mics for instruments/voices.
1/4/24 Update: Lee found all the channels on the board except for three to be non-functional. He found a new equivalent board (Yamaha) for $650. Will probably purchase this, and expects it will help background hiss and enable several more mics.

1/8/23 Update: Brad had purchased several boxes of LED lights to replace existing fluorescent lights. He and Byron converted many of the lights to LED, taking care of both the women’s bathroom (F.H. side) and the fellowship hall. The lighting now is vastly improved. They will hold off on doing further replacements until there are additional lights that fail.
